Overview

Action Items

The Expunge Assist research team is ready to send out two research surveys pending approval -- 1) a User/Terminology survey for target users (people seeking expungement) and 2) a Prospecting Survey for legal professionals. We need approval from Bonnie before moving forward.

  • review the Research roadmap, the Survey research plan, and the Internal Wiki updated on Oct.27, as detailed in Document and Refine EA Research Roadmap and Internal Wiki #723

  • review both surveys

    • purpose of surveys:

      • User/Teminology Survey: The aim of the survey is to clarify terminology based on the internal testing results. We need to get real user feedback on what they actually use, versus what websites say, so that we can align and select the best terminology for our product in Content. 1. what the letter is called (declaration letter, support letter, personal statement) 2. what is the most common term target users use when referring to the process of clearing their records (expungement, record clearance, reduction, and so on).

      • Prospecting Survey: This survey originated as a Content need from IUT 1 and this issue, and is meant to serve a few goals: 1) get contact info from legal professionals whose clients write letters in their applications for record clearance for potential partnership 2) clarify terminology around how legal professionals refer to the letter. It should be short. We will disseminate it in CA for Wave 1. Other states and mediums for outreach will be included after the pilot survey aimed for September 2022.

I met with someone from the team last friday at the PM community of practice. I was checking up on this issue today in case you needed something else, but I don't see that this issue is being used to track our conversation. If you need something else from me on this issue, add the history here and then your new ask, and then fill out the reach bonnie form again.

Thanks for following up, @ExperimentsInHonesty ! You met with @sheronvirani21 last week, and she filled me and @mchai1218 (the current research leads) in on your conversation. I see that @sheronvirani21 was never assigned to this issue; I'm adding her now.

@sheronvirani21: would you please add a summary of the main points from your discussion with Bonnie to this issue? I'll then add a summary of the actions we're taking now to address Bonnie's recommendations and link the relevant issues.

Meeting Notes from our Meeting with Bonnie in November of 2022:

  • Change Roadmap and Research Plan templates to match Expunge Assist colors
  • Go into Design System, take template and change color
    Immediate deliverables and action: A total of 4 deliverables. As we are targeting 2 separate user groups via each of our surveys, Bonnie said she'd like us to present Research Roadmaps and Public Plans for each user groups. She wants our research planning to be done around the user groups so we can keep coming back to them and adding on to it as we receive more feedback and work more with each of our user groups. She would also like our plans to be public ready so they can be shared with our partners
  • Research · hackforla/internship Wiki · GitHub (Example) - She would like us to organize our Wiki in this format
  • Different Roadmap for External User Testing (as interpreted by team) - a year long with timeline per user group

Agenda for Meeting with Bonnie and PMs, 1/12/2023

We want to provide an update on our efforts to improve documentation. In response to Bonnie's feedback, we've taken - and are planning to take - several actions to improve documentation:

(1) Meeting with Research Lead of the Internship Project re: their Documentation Practices
In December, Kelsey met with Sara to learn more about how the Internship Project's research team:

  • uses github issues (and issue templates) to facilitate and standardize documentation of research processes
  • uses the github wiki as both an internal resource for the research team and as a public source of information for potential participants, volunteers, and stakeholders
  • manages internal and public-facing versions of research documents, including research roadmaps and research plans

(2) Research Roadmaps: In Progress

  • We have created two research roadmaps - one for each user group (legal professionals and justice-impacted individuals)
  • To complete these roadmaps, we need to identify and define research objectives for each user group
    • During our research team meeting on 1/20/2023, we will hold a brainstorming session (#775)
    • After the brainstorming session, we will add these objectives to the two roadmaps #727
  • We will review the resources and notes for each roadmap, then add the roadmaps to the relevant pages on the research wiki
  • Estimated Date of Completion: end of January 2023

(3) Internal Survey Research Plans: Complete

(4) Public-Facing Survey Research Plans: Not Started

  • Aim: create versions of each survey research plan that can be public-facing (on the wiki)
  • Actions to be taken:
    • Team will discuss and determine what information we must convey to facilitate informed consent process
    • We will produce public-facing versions of RP1 and RP2
  • Estimated date of completion: End of January 2023

(5) Expand and re-organize Research Wiki: In Progress

  • Created, structured, and scaffolded pages to align with model of the Internship Project's research wiki (#774)
  • The team will use first meeting of the year (1/13/2023) to (re-)familiarize team members with creating issues and updating the wiki
    • Individual tasks for the coming week will center on adding content to the existing research wiki pages (and creating github issues to do so to help new members become more comfortable with the process)
    • Related question: does Expunge Assist have a process for creating and approving issue templates?
  • Expected date of completion: ongoing process, but we aim to have content added to the Researcher and Research Output Overview pages (and most sub-pages) by 1/20/2023

(6) Roadmaps for External User Testing: Not Started

  • Before we begin working on this document, we have some questions:
    • What is the relationship between the Research Roadmaps (for each user group) and the Roadmap for External User Testing?
    • Should we have two roadmaps for External User Testing - one per user group?
    • What is our ideal timeline for producing this document/these documents? (ASAP vs. after IUT2?)

(7) Bring Github Up-to-Date

  • We have 44 open issues, some dating back to 2019. These need to be reviewed - and many should be closed.
  • We should make it easier for members to contribute by:
    • creating more issue templates
    • creating "epic" issues (to organize/manage documentation projects)
